Zapier is a software platform that connects web applications so that an event in one of them automatically sets off work in another. A lead submitted through an advertising form can be copied into a customer relationship management (CRM) system and announced in a chat tool without anyone writing code. The company exists because most business software was built to stand alone, and linking each pair of products through their application programming interfaces (APIs) cost more than small teams could spend. Zapier sells the plumbing in between.

How a Zap works

The basic unit is the Zap, an automated workflow made of one trigger and one or more actions. A trigger is the event that starts the workflow, such as "new lead form submission". An action is what follows: create a contact, send an email, update a record. Multi-step Zaps chain many actions and can add filters, formatters, delays and branching paths.

Triggers are detected in two ways. Some apps push events instantly through webhooks; others must be checked at intervals, known as polling. As of October 2026, Zapier's pricing page lists a 15-minute polling interval on the free tier, two minutes on Professional and one minute on Team and Enterprise.

Each app's triggers and actions are packaged as an integration, built by Zapier or by the vendor. Zapier claims more than 9,000 connected apps as of October 2026, a company-reported figure that has grown from the 1,500 apps PPC Land cited in January 2020.

Pricing is metered in tasks. A task is counted each time an action step completes successfully; triggers, polling checks, failed actions and built-in utilities such as Filter and Formatter are free. The free plan includes 100 tasks a month and only two-step Zaps. Professional starts at $19.99 a month for one user and Team at $69 for up to 25 users, with tiers running to 2 million tasks. When the quota runs out, Zaps pause or, if pay-per-task is enabled, continue at a higher rate the pricing page does not state.

Where it sits in marketing operations

In paid media, Zapier most often fills the gap between an ad platform and the systems that know whether a lead became revenue. The Google guide PPC Land covered in 2020 set out five steps: a user clicks an ad, browses the site, fills in a form, the lead passes to a CRM, and when it converts, Zapier uploads the conversion to Google Ads.

Google's current help pages describe two directions. Lead form submissions can be exported from Google Ads to a CRM in near real time, with one data integration allowed per lead form and a paid Zapier account required. Qualified or closed leads can then be sent back as offline conversions. According to Google, matching uses either the Google Click Identifier (GCLID) stored in the CRM or hashed data such as email addresses, the method Google calls enhanced conversions for leads.

Facebook added Zapier delivery to lead ads in 2017, according to the PPC Land lead ads explainer, which notes that Meta retains lead data for only 90 days. In December 2025 Zapier was named among the launch partners for the Data Manager API, Google's single entry point for audience and conversion uploads; the Data Manager explainer lists it alongside Tealium, Hightouch and Treasure Data.

Origin and evolution

Wade Foster, Bryan Helmig and Mike Knoop founded Zapier in 2011 in Columbia, Missouri, building the first prototype at a Startup Weekend hackathon. By December 2011 it had 25 integrations, according to Contrary Research. Rejected by Y Combinator once, the founders joined its Summer 2012 batch.

A seed round of $1.2 million to $1.3 million in October 2012, led by Bessemer Venture Partners and Draper Fisher Jurvetson, is the only significant primary capital raised; sources differ on the figure. Zapier says it has been profitable since 2014. In January 2021 Sequoia Capital and Steadfast Financial bought shares from early investors at a $5 billion valuation. Revenue is not disclosed; Sacra estimated annual recurring revenue at about $310 million at the end of 2023. The company has always been fully remote and had more than 800 staff in 38 countries by mid-2025.

Tables, a no-code database, and Interfaces, a form and portal builder, were sold as add-ons from $20 a month until September 2025, when they were folded into every plan, according to SD Times.

Artificial intelligence (AI) products came faster. Zapier Central, launched in 2024, became Zapier Agents on January 22, 2025: assistants given instructions in plain language that act across connected apps. As of October 2026 Agents are metered in "activities", with 400 a month free. Zapier MCP, listed as a beta release by April 2025, is a server built on the Model Context Protocol (MCP) that lets AI clients such as Claude, ChatGPT and Cursor call Zapier actions; Zapier then cited more than 30,000 actions across nearly 8,000 apps. When Anthropic opened remote integrations for Claude on May 1, 2025, Zapier was one of the first 10 services. Each MCP tool call consumes two tasks.

Why it matters for marketers

For many small advertisers, Zapier is the practical way to close the loop between a click and a sale. Bidding algorithms optimise towards the conversions they can see. A business whose real outcome happens in a CRM or a signed contract needs a route to send that outcome back, and direct API work requires engineers most small accounts lack. Google's own help pages route that job through Zapier.

The platform also shapes how marketing work is staffed. Freelance listings surveyed in October 2025 named n8n, Zapier and Make as the standard automation toolset. When Peak XV backed Vapi in May 2026, partner Arnav Sahu called it "the next Zapier and n8n for voiceAI workflows", a comparison PPC Land examined.

Limitations and criticisms

Metered tasks make costs hard to predict. One lead can pass through several billed steps, and some AI and code steps consume more than one task. Contrary Research flagged the risk that per-task pricing pushes large customers to build integrations in-house.

Latency is another constraint. A lead may wait up to 15 minutes on a free plan, and a paused Zap can drop data quietly. The lead ads explainer warns that a broken webhook "does not delay leads. It destroys them".

Security is a recurring concern for a service holding credentials to many business systems. In early 2025 Zapier told customers that an attacker had abused a two-factor authentication misconfiguration to reach some code repositories containing customer data copied for debugging, according to TechRadar; Zapier said production and payment systems were unaffected. In February 2026 Token Security researcher Yair Balilti reported an exploit chain he called "Zapocalypse", beginning with a sandbox escape in Code by Zapier. Zapier confirmed remediation by March 5, 2026 and reported no evidence of exploitation. Tool poisoning risks apply to any MCP server acting on business accounts.

The AI shift also raises a question about the model itself. If agents call APIs directly, a visual workflow layer may matter less. Site visits to Zapier, n8n and Make fell by double digits on a trailing twelve-week basis in a16z data from August 2026, as PPC Land reported. Visits do not measure workflow runs or revenue, and a16z noted that the incumbents have AI tools of their own.

Zapier versus adjacent terms

iPaaS. Integration platform as a service is the analyst category for cloud tools that connect applications. Zapier belongs to it, but the label usually describes enterprise products such as MuleSoft, Boomi and Workato, sold to IT departments with deeper data mapping and governance.

Make and n8n. Both are direct alternatives. Make launched in Prague as Integromat in 2016, was bought by Celonis in 2020 and renamed in 2022. n8n, founded in Berlin in 2019, is source-available under a "fair-code" licence and can be self-hosted, which matters where customer data cannot leave an organisation's servers. It raised a $180 million Series C at a reported $2.5 billion valuation in October 2025.

Reverse ETL. Reverse extract, transform, load tools such as Hightouch and Census sync modelled warehouse data into business applications, as the data activation explainer describes. Zapier reacts to individual events between applications rather than starting from a warehouse.

Recent developments

At ZapConnect 2026, held online on September 23, 2026, Zapier announced Next Gen Zaps in early access, built on what it calls "Fluid Determinism", in which each step can move between AI reasoning and fixed logic. It also added audit logs recording every MCP action. Zapier Functions, a separate code product, was shut down on September 1, 2026.

Around it, ad platforms are opening their own MCP servers, as the connector explainer records, letting AI assistants reach advertising accounts without an intermediary. In late August 2026 PPC Land noted that the platforms which defined the prior generation of marketing operations were losing traffic as agents gained account access, a trend also tracked in OpenRouter's token data. Integration platforms still move data across the marketing stack, and Similarweb's MCP server launched in September 2025 with Zapier and n8n integrations.
